Job Description

Summary

We are seeking a Coordinator, Mail Services who will, under supervision and direction of the Lead, Mail Services; provide administrative support and deliver on daily objectives with direct impact on college Faculty, Staff, and Learners. This position requires a moderate-level of knowledge in the procedures, equipment, and software, used by the college to process in-bound and out-bound mail and packages. This position is customer-facing, and customer-service focused. This is a very visible, boots-on-the-ground, position where flexibility and willingness are needed to handle last-minute, or urgent changes to out-bound pick-up or in-bound delivery of mail and parcels that will occur.

 

Candidates should have some experience in driving light & medium duty vehicles without passengers along with a clean driving record and valid Texas Drivers License.

Job Duties

  • Provides administrative support to the Lead Coordinator.
  • Collects out-bound mail and packages from campuses, drop-boxes, departments, and individuals, both on scheduled stops, and on as-needed basis upon request when assigned by Lead.
  • Processes outbound mail including operating Pitney Bowes postage machine, Sendpro Enterprise software for Certified/Registered mail, and calculates appropriate shipping charges by package weight and dimensions.
  • Communicates allocated mail and shipping expenses from SAP S4 Hana to customers.
  • Uses college fleet vehicle to deliver mail and USPS shipments to post office daily; facilitates retail/post office counter transactions.
  • Collects and provides tracking information for Registered/Certified mail and international shipments to Lead in Mail Services, and relays tracking information to customers upon request.
  • Delivers in-bound mail and packages for all campuses, according to pre-determined delivery routes, campus, mail-stop, and desk-top delivery service.
  • Notifies Lead when delivery routes, locations, and mail-stop information needs to be researched or updated.
  • Maintains Pitney Bowes postage machine consumable components, i.e. ink, receipt paper, etc. Also, using the Mail Services Cost Center, digitally uploads postage funds to Pitney Bowes machine.
  • Communicates with customers any mail-related problems, i.e. trouble-shooting undeliverable or lost mail and a variety of other customer service issues.
  • May assist in training lower-level employees.
  • Performs other job-related duties as needed.

Minimum Qualifications

  • High School diploma or GED.
  • Two years of relevant experience.

Preferred Qualifications

  • Experience in office services, logistics or administration.
  • Valid Texas Driver's License; clean driving record; three years of driving history in the United States.
  • Some experience in driving light & medium duty vehicles without passengers.
  • Experience using Teams, Microsoft Outlook, Excel, and Word.
  • Customer-service focus with ability to communicate verbally and in writing with all levels of customers across the college.
