Grants Billing Manager: Legal Aid of Western Missouri is in search of an experienced Grants Billing Manager to work in our Finance Team at our Central Office. The Grants Billing Manager is responsible for organizing and executing various clerical and accounting activities, reporting requirements, and invoicing activities with organizational grants. This position reports to the Director of Finance and works closely with the Development Team. The Grants Billing Manager must conduct timely invoicing of funders according to terms of contracts and coordinating with staff in preparing accurate and detailed billing information. This position will assist LAWMO Finance team in running smoothly, ensuring transparency and efficiency in all transactions.
Some of the duties include:
Grant Responsibilities:
- Coordinate grant reimbursement activities, including invoicing and initiating payment requests.
- Track grant performance and expenditure activity and perform analytics to inform managers of available funding, spending analytics and reporting guidelines.
- Monitor aged receivables reports for grants and contracts to ensure timely reimbursement.
- Compile and provide financial, draw down and reimbursement reports, as needed, for grant writing and reporting.
- Prepare grant billings for public and private funders; maintain corresponding documents.
- Manage priorities based on funders’ deadlines, update calendar system used by fiscal team.
- Determine eligible case-time to bill in compliance with contracts by performing queries in case management system, identifying, and resolving exceptions with case-handlers and managers.
- Obtain billing documentation, such as payroll timesheets, insurance, operating expenses, etc. to manage the grant allocations.
- Prepare journal entries based upon grant billings with guidance from Director of Finance.
- Provide update to Project Directors regarding spend-down and any new variances related to the grants.
- In coordination with the development staff, prepare reports for funders and participate with grant monitoring, as needed.
Fiscal Responsibilities:
- Assist the fiscal team as needed with accounting duties, such as account reconciliation, updating of expense spreadsheets and audit preparations.
- Produce financial reports and other accounting tools needed to support organizational decisions and financial reporting.
- Serve as back-up for other Fiscal Team members as needed.
- Other duties and special projects as assigned.
Education and Experience:
- Bachelor’s degree in Accounting, Business Administration or Finance preferred, or applicable professional experience.
- Experience with non-profit finance, grant billing or accounting strongly preferred.
- Knowledge of accounting practices, GAAP, and government funding compliance, preferred.
Other Requirements:
- Works well within a team.
- Highly competent in Excel and understanding of basic database query concepts.
- Must be able to communicate complicated information to Project Directors; provide clarification and assist with responses to funders and requested by agency managers.
- Familiarity with accounting best practices and finance regulations.
- Good math skills and ability to spot numerical errors.
- Excellent organizational skills.
- Able to manage sensitive, confidential information.
Pay: $25.64 per hour + DOE
